Welcome to Quantix! These Terms and Conditions (“Terms”) govern your use of the services provided by Quantix Inc., (“Quantix,”, “Quantix Health”, “we,” “us,” or “our”), including our website and professional medical billing and practice management services. By using our services, you agree to these Terms.
Scope of Services
Quantix provides medical billing and practice management services to healthcare providers, including:
- Medical billing, coding, and claims submission
- Insurance verification and eligibility checks
- Accounts receivable management and payment posting
- Denial management and claims appeals
- Patient statements and collections support
- Revenue cycle management and provider education/training
- Practice management support and reporting
The specific scope of services for any client engagement will be defined in a separate services agreement, engagement letter, and/or Business Associate Agreement (“BAA”), where applicable. In the event of a conflict between these Terms and a client’s services agreement or BAA, the services agreement or BAA will control with respect to the handling of Protected Health Information (“PHI”) and the specific services provided.
HIPAA Compliance and Business Associate Status
Quantix’s services routinely involve access to Protected Health Information on behalf of healthcare provider clients who qualify as “Covered Entities” under HIPAA. Where applicable, Quantix will enter into a Business Associate Agreement with each provider client governing the permitted uses and disclosures of PHI, required safeguards, and breach notification obligations, consistent with the HIPAA Privacy, Security, and Breach Notification Rules.
Nothing in these Terms authorizes any use or disclosure of PHI beyond what is permitted under HIPAA and the applicable BAA.
User Responsibilities
You agree to:
- Provide accurate, complete, and current information necessary for us to perform our billing and practice management services, including provider credentialing, coding, and patient account information.
- Use our services in compliance with all applicable laws and regulations, including HIPAA, CMS billing requirements, and California law.
- Maintain the confidentiality of any credentials, portals, or systems provided to access our services.
- Notify us promptly of any changes to practice, provider, payer, or patient information relevant to our services.
- Cooperate with reasonable requests for documentation needed to submit or appeal claims.
Confidentiality
We maintain strict confidentiality of all client and patient information in accordance with HIPAA, professional standards, and applicable law. You acknowledge that:
- Information shared electronically may be subject to inherent security risks, notwithstanding the safeguards described in our Privacy Policy.
- Certain disclosures of PHI or other information may be required by law, court order, or regulatory request (e.g., CMS, the Office of Inspector General, or California regulators).
- Confidential treatment of PHI is further governed by the applicable Business Associate Agreement between Quantix and the client.

No mobile information will be shared or sold to third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Text messaging is not used to transmit Protected Health Information.
Intellectual Property
All content provided by Quantix, including but not limited to reports, dashboards, training materials, templates, and billing methodologies, remains the intellectual property of Quantix. You may not reproduce, distribute, or use our intellectual property without our explicit written permission.
Limitation of Liability
To the fullest extent permitted by law:
- Quantix is not liable for indirect, incidental, or consequential damages arising from the use of our services, including but not limited to lost revenue resulting from claim denials, payer delays, or third-party payer decisions outside our reasonable control.
- Our total liability for any claim is limited to the fees paid for the specific service giving rise to the claim.
- Quantix does not guarantee the approval, timing, or amount of any insurance reimbursement, as these determinations are made by third-party payers.
Termination
Either party may terminate the engagement with reasonable notice as specified in the applicable services agreement. Upon termination:
- All outstanding fees must be paid.
- Quantix will cooperate in the reasonable transition of billing data and open claims back to the client or a successor billing provider, consistent with HIPAA and the applicable Business Associate Agreement.
- You will no longer have access to our services or systems, except as needed to complete an orderly transition.
Governing Law
These Terms are governed by the laws of the United States and the State of California.
Changes to Terms
We may update these Terms periodically. Changes will be communicated via our website, and your continued use of our services constitutes acceptance of the updated Terms.
